Receptionist/Operations Assistant

Location: Cambridge, MA

POSITION

The Receptionist/Operations Assistant provides specialized administrative support to relieve and assist the Operations and R&D team. This position will handle special projects, coordinate activities between departments and outside parties.  Work is generally of a critical or confidential nature.  Assignments may be in various functional areas which may include but are not limited to:

ESSENTIAL FUNCTIONS AND DUTIES

  • Answer phones/greet visitors
  • Meeting scheduling / calendar and conference room management
  • Scheduling conference calls
  • Stocking and maintaining lunchroom
  • Filing & File Management
  • Shipping & Receiving
  • Mail Distribution
  • Assist with Event Planning (Holiday Parties, Softball League etc.)
  • Travel arrangements
  • Coordinate Company lunches and monthly TGIF’s
  • Coordinate general facility repairs (i.e. light bulbs, water filter changes, pest control) as requested
  • Coordinate annual flu shots, CPR, & First Aid trainings
  • Assist with ordering general lab supplies
  • Assist with shipping hazardous materials as requested and maintain certifications for RCRA and IATA as required by federal/state regulations
  • Take daily readings from the pH neutralization system and maintain certifications required by federal/state regulations
  • Other Administrative Functions as needed

SKILLS AND EXPERIENCE

  • Associates Degree or equivalent experience
  • Proficiency with Microsoft Office (Excel, Word, PowerPoint)
  • Must have a professional attitude and ability to work with all levels of the organization
  • Excellent verbal and written communication skills
  • Ability to work in a fast-paced environment with excellent attention to detail.
  • Strong organizational skills with ability to prioritize, multitask and problem solve
